One of the most impressive features of Copilot in PowerPoint is its ability to turn existing documents into presentations with AI. This can save you a significant amount of time and effort, especially when dealing with detailed reports or extensive data. But first, let’s give you a quick tour of what Copilot is:
What is Copilot?
Microsoft Copilot is an AI-powered productivity tool integrated with Microsoft 365. It combines large language models with your data from the Microsoft Graph and Microsoft 365 Apps. Copilot is integrated into Microsoft 365’s suite like Word, Excel, PowerPoint, Outlook, and Teams. As this technology evolves, we’re sure that it’ll be integrated with more of their apps, making it easier to get things done with an AI companion at your side.
Now that you have a solid idea about Copilot, here’s how to utilize it when you need to turn an extensive document into fully-fledged slides:
1. Choose a Template or Theme and Access Copilot
Begin by selecting a template or theme for your presentation. This helps provide a visual framework for Copilot to work with. For this example, choose a basic presentation template and click "Create" to open it. Then, navigate to the Home tab on the ribbon and open the Copilot dialogue box. This will allow you to interact with Copilot and give it commands.
2. Command Copilot to Create a Presentation from a File
In the Copilot dialogue box, type the command to create a presentation from a file. Remember to use the forward slash (/) to cue Copilot that you are providing a file path or link. Type “/create a presentation from a file” and then specify the file you want Copilot to use.
Copy the share link if your document is stored in SharePoint or another cloud service. For example, if your storyboard document is in Teams, copy the share link from there.
3. Provide the Document Link and Confirm Replacement
Go back to PowerPoint, paste the share link into the Copilot dialogue box, and send the command. This tells Copilot to fetch and analyze the content from the specified document.
Once Copilot processes the document, it will ask if you want to replace the existing slides in your template. Confirm this action by clicking "Yes." Copilot will then integrate the document content into your chosen template.
4. Wait for Copilot to Generate the Presentation and Review the Outline
Depending on the size and complexity of your document, it might take a few moments for Copilot to generate the presentation. During this time, Copilot scans the document, extracts relevant information, and organizes it into a slide deck. As Copilot works, it’ll give you a preview of the structure Copilot is creating based on your document.
5. Examine, Edit, and Customize the Presentation
Once Copilot completes the process, it will inform you of the changes made. For example, it might state that it has created 46 slides, added speaker notes, inserted images, and applied specific layouts. Review the generated slides to ensure they meet your requirements. Copilot’s initial draft provides a solid foundation that you can build upon to make necessary adjustments, such as resizing fonts, modifying text, or changing layouts.
Before calling it a day, use PowerPoint's Designer feature to polish your presentation. It’ll give you layout suggestions and design enhancements, helping you create a more visually appealing and cohesive presentation.
How To Improve Your Content in Word 365 with Copilot
Microsoft’s new assistant doesn’t just stop at helping you make presentations; it’s also integrated into Word 365 to enhance your documents!
1. Locate and Highlight the Parts You Want to Improve
Identify the paragraph or section of your document that you want to improve. For this example, let's say you have a detailed team storyboard for a course you're developing and you're stuck on the introductory paragraph.
Highlight the specific paragraph you want to rewrite. If you are working within a table, ensure the paragraph is clearly selected.
2. Access Copilot
Note that the Copilot icon is accessible not only from the home toolbar but also beside new lines of text or within tables. Click the Copilot icon that appears when you highlight the text. Then, click on the "Rewrite with Copilot" option. Copilot will analyze the highlighted content and provide suggestions for rewriting.
3. Review/Rewrite Options
Copilot will offer three versions of the paragraph, each with a different tone and length. Review these options to see which one best fits your needs. If you prefer a different tone, you can adjust it. Click on the "Adjust Tone" icon and select the desired tone (e.g., Professional, Casual). Copilot will regenerate the paragraph with the new tone.
4. Select and Insert the Preferred Rewrite
Once you find a suitable rewrite, you can either:
- Replace the existing text: Click on the replace icon to directly replace the original paragraph.
- Insert the new version below: If you want to compare, click on the insert icon to place the new paragraph below the original text.
5. Finalize the Replacement
If you are satisfied with the new paragraph, finalize the replacement by cutting and pasting it into the correct location in your document. If you are working within a table, ensure the text is properly inserted back into the table structure.
You can use this process to enhance multiple sections of your document. Each time, Copilot will provide you with tailored suggestions to improve your content.
